What is the License Manager?
The License Manager is a tool for distributing and managing multiple licenses.
Accessing the License Manager
- Log in to your account
- Click on your username in the top right menu
- Select "License Manager" from the dropdown menu
Adding Users to a License
Direct Method:
- Navigate to the License Manager
- Locate a blank row under "Purchased Licenses"
- Click either "Enter Username" or "Enter Email"
- Enter the user's username or email address
- Click the correct user from the popup suggestion box
Join Link Method:
- Navigate to the License Manager
- Scroll down to the "Join Links" section
- Click "Create New Link"
- Click "Save"
- Click "Copy" under "Link" column
- Paste into email and send to others you wish to give licenses to
Tips for Adding Users:
- The user must have an existing SpeedTypingOnline account
- You can only add users if you have available licenses
- Direct method works well for individuals
- Join Link method works well for large groups
- Users assigned a license immediately receive premium/premium plus features
Common Issues:
- "No matches": The user hasn't created an account yet or there is a typo in your entry.
- "No seats available": All seats are currently in use. Remove a user or purchase additional seats.
- "User already has Premium": A user that already has a license cannot be given another license.
- Specific action not working: Refresh the page.
Removing Users from a License
Step-by-Step Instructions:
- Navigate to the License Manager
- Find the license row containing the user you want to remove
- Click the red "Revoke" button on their right side of their row
- Confirm the revoke when prompted
- Revoked user should now be visible in the "Revoked Licenses" table
What Happens When You Remove a User:
- The user immediately loses access to all Premium/Premium Plus features
- Their license becomes available for another user
- Their account data and progress remain intact
- They can continue using SpeedTypingOnline with a free account
Managing Join Links
Anyone with a valid join link can claim an open license. Here's how to use join links securely:
Best Practices:
Use Count Limits
Limit the number of licenses that can be claimed by each join link.
Use Expiration Date
Limit the length of time a join link will work.
Monitor Usage
Regularly check number of licenses claimed per join link.
Reset or Disable Links
Reset or disable a link to block a potentially compromised link.
Tracking Seat Usage
The License Manager provides real-time visibility into your license allocation:
Overview
See combined statistics across all your licenses:
- Total seats owned/managed
- Total seats claimed
- Total seats unclaimed
Per-License Details
View granular information for each individual license:
- Username
- First and Last Name
- Email
- Date Assigned
Common Scenarios
Managing a Classroom
Scenario: You're a teacher with 25 students.
- Purchase 25-30 licenses (your license will be free with 20+ license purchase)
- Add all students at the beginning of the year (directly add or use join links)
- Add/Revoke students as they join or leave your class throughout the year
- Revoke all graduated students at the end of the year
- Add new students for the next year
Tip: Keep 5 seats available for new enrollments or transfers during the year.
Managing a School or District
Scenario: You manage multiple classrooms or schools.
- Purchase licenses
- Add students, teachers, or other admins directly or preferably using join links
- Designate teachers or other admins as a "manager" and allocate the number of licenses they require to them
- Managers will be able to distribute the licenses they are allocated to their students via their own license manager
- Edit the number of allocated licenses a manager has throughout the year as needed
- Add/Revoke students, teachers, or other admins throughout the year as needed
Tip: Consider buying 10-15% extra seats to accommodate turnover and new hires.
Family or Small Group
Scenario: You want to share Premium or Premium Plus with family members or a study group.
- Purchase enough licenses for your group
- Add each family member or group member by their email/username
- Everyone can access Premium or Premium Plus features independently
- Manage the group as people join or leave
Tip: More purchased licenses = steeper discounts
Replacing a User
Scenario: One user leaves and you need to add a replacement.
- Go to the License Manager
- Revoke the departing user's license
- Add the new user to the now open license
Tip: The process is instant - seats are available immediately after removal.
Troubleshooting
Q: I don't see the License Manager in my profile menu
A: The License Manager only appears if you own or manage at least two Premium/Premium Plus licenses. If you've purchased multiple licenses but don't see the option, try logging out and back in, or contact support.
Q: What happens if my license expires?
A: When a license expires, all users assigned to that license will lose Premium access. You'll need to renew the license to restore their access.
Q: Can users see who else is on their license?
A: No, only the license owner/manager can see the full list of assigned users. Regular users only see their own Premium status.
Q: How do I purchase more seats?
A: Use the "Manage Membership" button on your Profile or License Manager page to purchase additional licenses or contact support for license upgrades.
Q: Can I get a refund for unused seats?
A: License seat purchases are typically non-refundable, but please contact support to discuss your specific situation.
